My client is looking for a Service Desk Receptionist to join their team in Melksham. This is a varied customer-facing role where you will act as the first point of contact for customers, supporting the smooth running of the service department and working closely with workshop and technical teams.
Responsibilities
- Welcome customers and provide a professional and friendly first point of contact both face-to-face and over the phone
- Manage customer enquiries, appointments and bookings
- Coordinate with technicians and workshop colleagues to obtain updates on vehicle progress and communicate these to customers
- Keep customers informed of any changes, delays, additional work, or costs throughout the service process
- Ensure vehicles are prepared for collection and customers are notified promptly when work is complete
- Prepare and process job cards, quotations, invoices, payments, and other service-related documentation
- Maintain accurate and up-to-date customer records using internal systems
- Order parts and monitor stock levels
- Manage service, MOT, and maintenance reminders to encourage customer retention and repeat business
- Handle customer complaints professionally
Person Specification
- Previous experience within a Receptionist, Customer Service, Service Advisor, Administrator, or similar customer-facing role is essential
- Excellent verbal and written communication skills with a professional and approachable manner
- Strong organisational skills with the ability to manage multiple tasks and priorities effectively
- Confident dealing with customers and able to remain calm and professional in a busy environment
- Good attention to detail, particularly when handling customer information, payments, quotations, and documentation
- Good IT skills with the ability to learn and confidently use new booking and customer management systems
- A proactive and customer-focused approach with a genuine desire to provide a high standard of service
- Commercial awareness with the confidence to identify appropriate opportunities to promote additional services
- Strong problem-solving skills and the ability to work effectively as part of a wider team
- Flexible and adaptable approach to changing priorities and customer requirements
Working hours are Monday – Friday 8.15am – 5.45pm
