Due to continued growth, our client is looking to recruit an Office Assistant to provide support to one of the company’s Executive Assistants. This is an interesting role that offers variety for someone who is just starting out in their career.
Duties will include;-
* Scanning of documents and arranging couriers and post as required.
* Supporting with the upkeep of the offices and liaising with Landlords and third parties over any issues/problems and any existing and new arrangements.
* Monthly visits to other office for support in office maintenance.
* Assisting in organising board meetings, ad-hoc meetings, compliance meetings, Teams meetings and zoom calls; preparing agendas and taking minutes if required.
* Assisting with booking training sessions, seminars and events.
* Providing support in arranging travel and hotel bookings including flights, trains and accommodation.
* Supporting the management of Directors’ calendars.
* Assisting with the preparation of expenses claims in conjunction with Finance team.
* Helping organise company events such as the Christmas party, lunches, birthdays and assist with buying ad-hoc gifts.
Candidate Specification;-
* Excellent communication and interpersonal skills with a positive attitude.
* Ability to work as part of a small team and independently.
* A flexible, pro-active approach to work including the ability to prioritise.
* Ability to deal with sensitive information with discretion and to maintain confidentiality.
* Good working knowledge of Microsoft Word and Excel.
* Well organised with good time management skills.
